We handle personal information in accordance with Japan’s Act on the Protection of Personal Information (APPI).
Key provisions
We collect customer account information, call information (caller phone numbers, transcripts, AI summaries, reservation/message content), and usage logs. Caller data is processed primarily as an entrusted processor on behalf of our business customers. Purposes of use: providing the service, billing and support, quality assurance and troubleshooting, anonymized statistics, and legal compliance. Calls are transcribed and processed by AI after an announcement to the caller; call audio is not recorded or stored; transcripts are retained for the contract term, and all data is deleted [30 days] after contract termination. We do not provide personal data to third parties except with consent or as required by law. Under APPI Article 28, processing is entrusted to providers located abroad — OpenAI, L.L.C. (US; speech recognition and response generation, under terms that exclude use of API data for model training), Twilio Inc. (US; telephony), and [hosting provider] — with contractual safeguards equivalent to the standards of Japan’s Personal Information Protection Commission. Security measures include encryption in transit and at rest, access control, tenant data isolation, and audit logging. Data subjects may request disclosure, correction, deletion, or suspension of use of their retained personal data via the contact listed in the Japanese policy.
